How to protect client data in a services business
Service firms work on other people's data. Projects, bookings, campaigns, advisory files: every delivery is a document that leaves your control and stays readable forever. CyberGrant encrypts data at creation, so the protection travels with the file long after you hand it over.
Why is the services sector among the hardest hit right now?
From IT services to consulting, travel and advertising, the value sits in someone else's data. That is an uncomfortable position. One compromised supplier opens the door to dozens of clients, and file-centric protection is the only kind that still works once the file has left your network.
What makes the services sector specifically vulnerable?
Travel bookings, architectural drawings, media plans, due diligence files. The transport channel is encrypted, the file is not: at the other end it becomes readable, copyable and forwardable. That is precisely what the Booking, Eataly and Trenitalia breaches exposed.
The human element appears in 62% of breaches, and 45% of employees now use AI tools on corporate devices, up from 15% a year earlier (Verizon DBIR 2026). The risk is not sabotage. It is a paste into a public model. What works is a governed AI alternative, not a ban.
Vulnerability exploitation is now the leading initial access vector at 31% of breaches, ahead of stolen credentials for the first time in nineteen editions of the DBIR. Endpoint protection has to work on machines you cannot patch.
Travel, publishing and agencies get picked for the trust they hold with the end customer. In 2025 the Professional / Scientific / Technical sector climbed from tenth to seventh among the most targeted worldwide, with incidents up 91% (Clusit Report 2026).
Third parties are involved in 48% of breaches, up 60% in a year (Verizon DBIR 2026). Outsource IT and cloud and you inherit someone else's security posture: Cold Case Santander traces how 30 million customer records went up for sale, starting from a supplier's database.
Three regimes on the same file: GDPR Article 28 for anyone processing data on a client's behalf, NIS2 for managed ICT service providers and for the supply chain of in-scope entities, and the AI Act from 2 August 2026. Compliance is proven on the data, not in the policy binder.
How do CyberGrant solutions protect data in a services business?
- Quantum-safe Lock&Go encryption on deliverables, projects and client files (CRYSTALS-Kyber, NIST FIPS 203)
- Client delivery with RBAC permissions, expiry, download and print blocking, and revocation after sending
- Automatic content classification, protected viewer, and blocking of scraping by public AI models
- Endpoint protection for consultants, contractors and distributed teams: ransomware, malware and unauthorized application blocking
- Transparent encryption on USB drives and personal devices used for work, with serial number whitelisting
- Remote workstation access with an RDP port invisible to scanners and controlled file transfer
- Private on-premise AI across proposals, statements of work and internal knowledge: client data never leaves your network
- Segregation by engagement and by client, so each team sees only its own scope
- A governed alternative to shadow AI, which adds $670,000 to the average breach cost (IBM 2025)
SERVICES
- Encrypted attachments to clients and partners, under the same policies as files in the platform
- Access revocation after sending: wrong recipient or withdrawn proposal closes in one click
- Scheduled expiry on messages and quotes, with a record of who opened them and from which IP
- Attack Surface Discovery, Vulnerability Assessment and Penetration Testing across applications, infrastructure and cloud environments
- Phishing and ransomware simulation to measure how project teams actually react
- Executive Summary and Technical Report you can use in your clients' security questionnaires
- Encrypted vault for client credentials: portals, CMS platforms, cloud environments, ad accounts
- Tracked sharing with external collaborators, without ever revealing the password in plain text
- Immediate revocation at project or contract end, with no need to rotate the client's credential
The files you send clients stay under your control
Frequently asked questions on data security in services
The data that belongs to the client and passes through your systems: designs and drawings, bookings and traveler records, media plans and creative assets, due diligence files, credentials for the client's own portals. This data leaves the perimeter constantly, because delivering it is the service. The goal is not to block the exit. It is to make sure the file stays encrypted, tracked and revocable after it arrives.
It depends on what you deliver. Managed ICT service providers and managed security service providers are classed as important entities; cloud and data centre providers as essential entities (Italian Legislative Decree 138/2024, in force since 16 October 2024). Consulting, travel and advertising usually stay outside the direct scope, but they get pulled in as suppliers: Article 21 requires in-scope entities to manage supply chain risk, which turns into contractual security requirements for their vendors. The current operational reference is ACN Determination 127437 of 13 April 2026, with measures due by October 2026.
Both parties, on different grounds. The client remains the data controller, the supplier is the data processor under GDPR Article 28 and answers for the security measures it put in place. The context matters: third parties were involved in 48% of breaches, up 60% year over year (Verizon DBIR 2026). Commercially, a breach at the supplier costs the contract, not just the fine.
By giving them something usable instead. 45% of employees now use AI tools on corporate devices, up from 15% the year before, and source code is the data type most often uploaded to external GenAI models (Verizon DBIR 2026). Bans do not hold. AIGrant provides private on-premise AI that only works on documents the user can already access, while FileGrant blocks external models from scraping protected content. Widespread shadow AI adds an average of $670,000 to breach costs (IBM Cost of a Data Breach 2025).
In an encrypted vault with tracked sharing, not in a spreadsheet or a chat thread. SecretGrant, a FileGrant module, holds client portals, CMS platforms, cloud environments and ad accounts, shares them with internal and external collaborators without ever exposing the password, and revokes access at project end without forcing the client to rotate the credential. Every use stays logged for audit.
No, it sits alongside them. FileGrant does not replace the collaboration platform you already run: it adds the protection that disappears once a file leaves, meaning persistent quantum-safe encryption, revocation after sharing, screenshot and AI scraping blocking, and an audit trail. AIGrant likewise does not replace Copilot: it covers the cases where client data cannot leave the network. Deployment is modular and works with legacy systems, without reconfiguring existing infrastructure.
Five things worth knowing
-
Incidents in the Professional / Scientific / Technical sector grew 91% in 2025, moving the sector from tenth to seventh among the most targeted worldwide (Clusit Report, March 2026).
-
Third parties were involved in 48% of breaches, up 60% year over year (Verizon DBIR 2026). For a service firm, a supplier is not a contract clause. It is part of the attack surface.
-
A firm processing data on a client's behalf is a data processor under GDPR Article 28: the security obligations are its own and cannot be passed back to the client.
-
45% of employees now use AI tools regularly on corporate devices, up from 15% the year before, and source code is the data type most often uploaded to external GenAI models (Verizon DBIR 2026).
-
FileGrant encrypts files at creation with quantum-safe Lock&Go encryption (CRYSTALS-Kyber, NIST FIPS 203) and keeps revocation, expiry and audit trail working after delivery.
