Version 4.4.6 introduces EmailGrant, a new integrated service for secure email communication, along with the Ownership Transfer feature that enhances administrative control over file management. This release also includes performance improvements, platform optimizations, and general bug fixes.

 

New Features

 

EmailGrant

EmailGrant is a new integrated service within FileGrant that enables secure email communication directly from the platform.

With EmailGrant, users can send encrypted emails and attachments while maintaining full control over shared content, ensuring sensitive information remains protected even after delivery.

This feature extends FileGrant’s security capabilities beyond file sharing, allowing users to communicate externally through a fully protected and controlled environment.

Key benefits include:

  • End-to-end encryption for email content and attachments
  • Secure transmission of sensitive information outside the platform
  • Centralized control and protection aligned with FileGrant policies

Ownership Transfer

A new Ownership Transfer capability is now available for Admins and Super Admins.

When selecting a user, alongside the standard user settings, administrators can now choose to transfer file ownership to another user.

Once the transfer is completed, all eligible files will be moved to a dedicated folder in the recipient’s root directory.

March, 14th 2026 - FileGRant V.4.4.5.

Version 4.4.5 introduces Public Links, a new feature that enables secure external sharing of files and folders without requiring platform authentication. In addition, this version includes several platform improvements, performance optimizations, and general bug fixes.

 

New Settings

 

Public Link

A new Public Link option is now available when sharing a file or folder. Alongside the existing Share and Copy Link options, users can generate a public link that allows access to the content directly through a shareable URL. Public links allow files and folders to be accessed even by users who do not have an account on the platform.

Administrators can manage this capability through the Public Link setting, which allows Super Admins and Admins to control whether users can generate links for accessing files and folders without authentication.

 

Key elements

  • Contributor Link Generation - allows admins to enable the creation of public links for all users or none.
  • Exception Handling - allows administrators to specify individual users who are exceptions to the configured permission.
  • Force Password - when enabled, users are required to set a password when creating a public link.
  • Mandatory Max Access Count - to enforce a maximum number of accesses for public links (from 1 to 10,000). Setting the value to 0 means the limit is not required and no maximum is enforced.
  • Max Expiration Days - to restrict the maximum expiration period for public links (from 1 to 365 days). Setting the value to 0 removes expiration constraints.
  • Tagged File Restrictions - allows to define which tagged files are eligible for public link generation.

Please note that existing public links will remain active even if the permission to generate new links is later revoked.

 

Public Link Options

When generating a public link, users can configure several optional security and access parameters:

  • Expiration Date (optional) - Define a date after which the public link will no longer be accessible.
  • Maximum Access Count (optional) - Set a maximum number of times the link can be accessed. Once the defined number of views is reached, the link automatically becomes inactive.
  • Download Control - A checkbox allows users to enable or disable download for the shared content.
  • Password Protection - Public links can optionally be protected with a password to restrict access.

Please note that creating a public link bypasses the standard protections applied to the file or folder. Anyone with the link will be able to access the document content.

 

Public Link Session Management

Users can manage active public link sessions directly from the user dropdown menu, where a new Public Link Sessions section is available.

From this area, users can view all active sessions associated with their public links and revoke access at any time, immediately terminating the corresponding session.

March, 8th 2026 - FileGrant v. 4.4.4.

Version 4.4.4 introduces several new security and sharing capabilities, including company-wide Two-Factor Authentication (TOTP), IP/Region access restrictions, activity notifications for shared content, and improved visibility over password-protected folder sessions. This release also includes general bug fixes, performance improvements, and minor usability enhancements.

 

New Settings

 

Two-Factor Authentication (TOTP)

A new security setting has been introduced to allow administrators to configure company-wide TOTP-based Two-Factor Authentication (2FA). This feature strengthens account protection by requiring users to authenticate with an additional verification code generated by an authenticator app.
Administrators can enforce 2FA across the organization, manage exemptions, and configure onboarding policies for new users.

Key elements

  • Require TOTP for All Users - Enable or disable mandatory Two-Factor Authentication for all users across the organization.
  • Grace Period - When 2FA is enabled, administrators must define a grace period that allows users to configure TOTP before login is blocked. The grace period begins from the moment the account is created and can also be set to 0, meaning users must configure 2FA immediately.
  • Admin TOTP Reset - Administrators can reset a user's TOTP configuration if the user loses access to their authenticator app, allowing them to disable and reconfigure 2FA.
    • Permanent Exemptions - If enabled, administrators can grant permanent exemptions allowing selected users to access the platform without 2FA.
    • Temporary Exemptions - If permanent exemptions are disabled, administrators can grant temporary exemptions only.
    • Temporary Exemption Duration - When granting a temporary exemption, administrators can define the validity period from 1 to 365 days. User Exemptions - A dedicated section allows administrators to manage users who are exempt from the 2FA requirement.

Admin Management from the User List

Admins can manage and review TOTP status directly from the User List.
By right-clicking on a user, administrators can view key security details for that specific account, including:

  • TOTP enabled status

  • Backup codes remaining

  • Whether 2FA is required by policy

  • Lockout status

 

From the same panel, administrators can also manage exemptions by selecting either:

  • Temporary exemption (with configurable duration in days)
  • Permanent exemption (if enabled in the setting)

When granting an exemption, administrators must provide a reason (minimum 5 characters).


User Setup Experience

Users can configure Two-Factor Authentication directly from their user menu.

To enable 2FA:
  • From the dropdown menu, select 2FA.
  • If a grace period has been configured by the administrator, it will be displayed to the user.
  • Selecting Enable 2FA opens the setup screen where a QR code is displayed. The QR code can be scanned using an authenticator app.
  • If scanning is not possible, users can choose the manual setup option and enter the provided setup key directly in their authenticator app.
  • After configuring the authenticator app, users must enter the 6-digit verification code generated by the app to complete the activation.
  • Once verified, backup codes will be displayed. These codes can be copied, downloaded, or printed.
  • After confirming that the backup codes have been saved, selecting Continue completes the 2FA activation.
  • If allowed by the administrator, users can also manage their 2FA settings from the same menu, including:
    • Disabling 2FA by entering a valid authentication code generated by the authenticator app
    • Regenerating backup codes if the original ones are lost

IP / Region Restriction

A new security setting allows administrators to restrict platform access based on IP address, country, or region. Please note that this setting blocks all users who do not match the defined criteria, unless they are explicitly exempted. Currently, this restriction applies to login access only, but it will be expanded in future versions to support restrictions for file operations only or both login and file operations.


Key elements

  • Enable / Disable Setting - Activate or deactivate the IP and region restriction policy.
  • Allowed IP Addresses / CIDR Ranges - Administrators can define a list of allowed IP addresses or CIDR ranges. Multiple entries must be separated by commas. This field is optional.
  • Allowed Countries - Select one or more permitted countries from the dropdown list.
  • Allow Private Networks - Enable this option to allow access from private IP ranges.
  • Custom Block Message - Administrators can define a custom message displayed when access is blocked (maximum 200 characters). A default message is already preconfigured.
  • Exemptions - Specific users and/or groups can be exempted from the restriction policy.

 

New Features

 

Folder Sessions

A new Folder Sessions feature has been introduced to provide greater visibility and control over access to password-protected folders.
From the user dropdown menu, selecting Folder Sessions allows users to view all active sessions associated with password-protected folders.
This section displays the currently active folder access sessions and provides users with the ability to revoke access to a folder at any time, immediately terminating the corresponding session.
This feature extends the existing Active Sessions functionality, giving users more control over secure folder access and improving overall security management.

Activity Notifications for Shared Files and Folders

A new Activity Notifications feature has been introduced to provide greater visibility over actions performed on shared files and folders.
When sharing a file or folder, owners can enable activity notifications directly from the sharing window by selecting the notification icon (bell). This option is available either next to the name of a user when modifying an existing share or at the bottom of the sharing panel when creating a new share.
Once enabled, owners can configure which actions should trigger notifications.

 

Notification triggers

Owners can choose to receive notifications when the following actions occur (individually or all together):
  • Download
  • Edit
  • Rename
  • Move
  • Open
  • Delete
  • Add
  • Copy

Notification recipients

Notifications can be configured for:

  • Owners - Only the file or folder owner receives activity notifications.
  • Recipients - Users who have access to the shared file or folder can also receive notifications. When enabling notifications for recipients, owners must specify who can trigger the notification:
  • Owner only - Notifications are triggered only when the owner performs the action.
  • Anyone - Notifications are triggered by any user who has access to the shared file or folder.

Activity notifications can be configured for owners only, recipients only, or both, and can be modified or removed at any time from the sharing settings.

 

Notification delivery

Notifications are also sent via email, including details about the action performed and the user who performed it.

February, 21 2026 - FileGrant v. 4.4.1

Version 4.4.1 includes several bug fixes and performance improvements, along with enhanced folder password protection and new QuickShare management settings.

New Setting

A new setting is now available, allowing full control over QuickShare behavior.

From the QuickShare setting, you can:

  • Enable or disable QuickShare: decide whether QuickShare is visible
  • Enable auto-open after login: set QuickShare as the default landing page after login
  • Define the maximum sharing duration: you can configure how many days a share remains active (up to a maximum of 90 days).
    Shares expire automatically after the selected number of days.

Password Protection for Folders

A new feature has been introduced to enhance content security: Password Protection for Folders.

This functionality allows administrators or authorized users to protect folders with a password, adding an additional layer of security for sensitive content. Users attempting to access a protected folder will be required to enter the correct password before viewing its contents.

  • Set Password on Folder – Enable password protection directly from the folder settings.
  • Custom Password Configuration – Define a secure password to control access.
  • Owner Bypass Option – Allow folder owners to access the folder without entering the password.
  • Maximum Failed Attempts – Define the number of allowed incorrect password attempts.
  • Lockout Duration – Configure how long access is restricted after exceeding the maximum failed attempts.
  • Session Duration – Set how long a user session remains valid after successful authentication.
  • Expiration Date – Define an optional expiration date for the password protection.
  • Full Control Management – Passwords can be edited or removed at any time, and folders can be locked whenever needed.

 

Owner Password Reset via OTP

Owners of password-protected folders can now reset the password even if they have forgotten the current one. The reset process is secured through an OTP verification via email, using the same mechanism as the login OTP flow.

This feature provides enhanced access control and flexibility for managing confidential or restricted information shared internally or externally.

February, 7th, 2026 - FileGrant v. 4.3.9

Version 4.3.9 introduces new administrative controls and advanced reporting capabilities, further strengthening governance, visibility, and security across the platform. This release empowers SuperAdmins and Admins with finer permission management, enhanced auditing insights, and improved session and download controls. 

A new SuperAdmin role has been introduced, representing a higher privilege level than Admin, Contributor, and Reader. SuperAdmins can now centrally manage which settings are accessible to Admin users through a dedicated configuration section. 

 

New Settings

 

Admin Setting Permission (SuperAdmin) 

This setting allows SuperAdmins to restrict access to specific administrative settings for selected Admin accounts. 

Key elements 

  • Administrator Scope – select one or more Admin accounts to which the rule applies 
  • Denied Settings – define which settings are blocked for the selected Admins 
  • Granular control over Admin permissions to enforce separation of duties and reduce misconfigurations 

 

Watermark Protection

A new setting has been introduced to control watermarking for shared files. This feature enhances content protection by allowing administrators to define when and how watermarks are applied.

Key elements

  • User Scope
    • All - Apply watermark protection to all members.
    • None - Do not apply watermark protection globally. When set to None, specific members can still be targeted through exceptions and tags.Define the scope of application:
  • Exception Handling- Specify users who are excluded from the watermark protection rules defined above.
  • Tags - Apply watermark protection only to files associated with selected tags.

Watermark Configuration

Administrators can customize the watermark by:

  • Defining the watermark text, using predefined options such as:
    • Owner
    • View date and time
    • Sharing date
    • IP address
    • Recipient
  • Customizing the watermark text with additional content.
  • Configuring position, font size, font color, and opacity percentage of the watermark.

 

 

Download Allowed Tags

A new setting has been introduced to control download permissions for files shared with Read-Only access. This feature allows administrators to selectively enable downloads based on defined rules and file classification.

Key elements

  • User Scope - Define the scope of application:
    • All - Allow members to download read-only files according to the configured tag rules.
    • None - Do not allow downloads for read-only files globally. When set to None, download access can still be enabled for specific files through tags.
  • Exception Handling - Specify users who are excluded from the rules defined above.
  • Tags - Enable download for read-only files only when the files are associated with the selected tags.

 

New Features and Improvements

 

Secrets Container

A new feature has been introduced to protect Secrets.
When selecting New (top right), the last available option in the list is now Password or Secret.

Creating a Secret File requires the following:

  • File name
  • Secret key (optional): users can choose to protect the file by enabling the dedicated option and entering a secret key with a minimum length of 4 characters.
  • passwords
  • text
  • URLs
  • usernames

Note: if the secret key is lost, the document will no longer be accessible.

Within the Fields section, users can add the information to be safely stored, including:

Up to 10 fields can be added within the same secret file.
Passwords can also be automatically generated by selecting the Generate Password icon, ensuring stronger and more secure credentials.

 

Impersonate User 

SuperAdmins and Admins can now use the Impersonate User feature to securely access the platform as another user. 

This functionality allows SuperAdmins and Admins to: 

  • View the platform exactly as the selected user 
  • Perform actions and verify configurations from the user’s perspective 

When starting an impersonation session, a reason for impersonation can be optionally provided to support audit and compliance requirements. 

 

Executive Report 

A new Executive Report has been introduced in the Audit section, alongside the Activity Log. This dashboard provides Admins and SuperAdmins with a comprehensive overview of file usage, sharing behavior, and risk exposure across the platform.

Active Session Management 

A new Active Sessions feature allows users to view and manage all currently active login sessions. 

From the user menu (top right), selecting Active Sessions enables: 

  • Visibility into all devices with active sessions 
  • Revocation of individual sessions via Revoke 
  • Log Out All to terminate all sessions 
  • Log Out Other Devices to terminate all sessions except the current one 

This improves account security and session control. 

 

Shortcut Creation 

Shortcut creation has been improved with a new destination selection view. 

Users can now choose to create shortcuts in: 

  • My Files 
  • Favorites 
  • Received Files 

Shortcuts can be created only within folders where the user has write permissions. 

 

User List – Last Access Information 

The user lists have been enhanced with the addition of the Last Access information. 

SuperAdmins and Admins can now view the date of the last time a user accessed the platform, improving visibility into user activity and helping identify inactive or rarely used accounts.

  • Like Search – expands the search to files with similar or related titles 
  • Exact Match – limits the search to specific words or phrases 

These options improve the user experience and speed up access to relevant content. 

 

Shortcut Management 

A new warning message notifies users when files include shortcuts. 
Before moving a file to the trash, an additional confirmation is required, reducing the risk of accidental deletions. 

 

Tags 

A new advanced tag management system has been introduced. 

When creating a tag, administrators can: 

  • make the tag visible to all users, or
  • restrict visibility to selected users or groups 

Tag visibility can also be defined based on the user’s access level (for example contributor, reader, and/or external).

01. Shortcut Link – Control over the creation of quick access links

Administrators can now define whether users are allowed to create shortcut links for files containing specific TAGs.
This feature enables organizations to prevent the creation of quick access links for sensitive files or documents subject to internal policies, enhancing security and governance.

02. Forced File Invisibility – File invisibility after sharing

This feature allows administrators to make specific files invisible to recipients while keeping the sharing active.
It is useful for hiding master files in Office formats while showing only approved or finalized versions such as PDFs.

TAG Governance – Creation and editing limited to Admins

Starting from this version, only ADMIN users can create or edit TAGs.
This ensures greater consistency in file classification, prevents improper use of tags, and reinforces organizational governance policies.

File Sharing Enhancements 

  • External File Sharing Restriction 

    Admins can now decide whether contributors are allowed to share files externally. Sharing can be completely disabled for specific users or groups, limited to company-approved domains, or allowed only for files marked with certain Tags. Exceptions can also be applied when DLP rules block sharing. 

  • Mandatory Expiration Dates for Document Sharing 

    With this new option, admins can require that every shared document include an automatic expiration date. The administrator defines the maximum allowed duration, blocks unlimited sharing, and prevents any shares that exceed the configured limit. 

 

File Manager

  • File Tag Management Rules

    Users can now apply and remove Tags on files, according to rules set by the administrator. It is possible to specify whether Tag management is allowed only on their own files, on files shared with them, or on both.

    File owners can assign a price to their content. Users must complete a secure credit card payment before opening or downloading the file. All transactions are logged for auditing.

    Admins can enable or disable file selling across the platform. When enabled, the system manages secure transactions and listings, ensuring revenue opportunities for creators while keeping oversight and fraud protection centralized. 

 

User & Group Management 

  • Prompt Sharing Notification for Newly Added Group Members 
    When Admins add new users to a group with existing shared resources, the system prompts whether to notify only the new members, avoiding redundant messages. 

  • Set Contributor Storage Limits 
    Define per-user quotas (e.g., 5 GB each) or apply a shared license pool. This helps manage resources efficiently while offering flexible, scalable options. 

  • Send User Invitation Upon Creation 
    Admins can now send invitations with a custom message when creating a new user—or later via an additional menu option. 

  • Admin Activity Log Section 
    A dedicated interface for Admins to view, search, and filter user activities (uploads, deletions, permission changes, logins), without relying on APIs. 

 

File Management & Collaboration 

  • Configure Deletion Rights in Editor Mode 
    Admins can decide which user roles or groups may delete shared files. External users can be restricted even if they have Editor privileges. File creators always retain the right to delete their own uploads. 

  • Allow Creators to Delete Their Own Files in Shared Folders 
    Users who create a file in a shared folder can now delete it, even if folder-wide restrictions apply. 

  • Add “File Creator” Column in My Files 
    A new column shows who created or uploaded each file (“Me” for the owner, or collaborator details), ensuring accountability. 

  • Display Link to File Location in Shared Files 
    Show the full path for shared items, making it easier to distinguish between files with the same name. 

  • Add “ShortCut” Feature 
    Create shortcut-style links to owned or shared files/folders. Links inherit permissions and improve workspace organization without duplicating content. 

  • Display Sharing Status in Subfolders 
    Shared icons and user lists now propagate from parent folders down to subfolders and files, keeping visibility consistent. 

  • Refined “Shared With” Filter 
    The filter now displays only users who actually have shared files, avoiding clutter and confusion. 

  • Replace Creation Date with Last Modified Date 
    The file list now shows “Last Modified Date” for quicker visibility on recent changes, while “Creation Date” remains available in the detail panel.

  • AI-Powered Sensitive Data Detection (Encrypted Mode) 
    AI securely analyzes documents—even when encrypted—to detect sensitive data and apply automatic tags like “Contract” or “Personal Information.” Admins can customize taxonomies for tagging. 

  • Enable Multi-Ecosystem User Access (Azure AD B2C & Entra ID Integration) 
    Support seamless authentication and SSO for both consumer (B2C) and enterprise (Entra ID) users, centralizing identity policies while ensuring secure, scalable access. 

  • Provide Full Activity Visibility for File Owners 
    File owners can now see all recipient actions (view, edit, download, rename) in the Activity tab, with filters by action, user, and date/time.

New Settings Section (Admin only)

A dedicated area for license administrators with advanced options: 

  • Company Branding: customize the platform interface, notifications, and more with your company logo and colors. 

  • Contributors Visibility Limitations: choose whether new users or groups created by Admins are visible to “Contributors.” 

  • Download Restrictions: enforce encryption on files downloaded locally, based on TAG rules. 

  • Forced Anti-Capture Mode: force files to open in anti-capture mode (linked to specific TAGs). 

  • File Size Limit: set a maximum upload size for all users on the platform. 


 

Advanced Classification with TAGs 

  • Personal TAGs: created by the user, not visible to recipients. 

  • Company TAGs: defined by Admins, visible to recipients, and able to enforce restrictions (e.g., encrypted download, anti-capture mode). 


Platform Area Updates
