How do I share a file with other users?
Step-by-step instructions for opening the sharing panel, choosing recipients and permissions, setting an expiry date, and generating a protected link.
You can share any file in your File area. There are two ways to open the sharing panel.
Opening the sharing panel
- Select the file → click Share in the action bar at the top
- Or: click the three dots ⋮ next to the file → Share
Options in the sharing panel
|
Field |
Description |
|
Recipients |
Select one or more users, groups, or external users. For external users not registered on the platform, manually type their full email address. |
|
Permission |
Read-Only or Editor. Determines what the recipient can do with the file. |
|
Access expiry |
Click Add expiry date to set a date after which the file will no longer be accessible to the selected recipients. |
|
Message |
Optional text included in the email notification sent to recipients. Uncheck Send message if you don't want to send one. |
|
Generates a direct link to the file, protected by authentication (email + OTP). Only explicitly authorized recipients can open it — even if the link is shared elsewhere. |
Permission inheritance for folders
If you share an entire folder, all files inside inherit the folder's permissions. To set different rules for a specific file, you need to share it separately.
💡 Tip: If you need to share a file quickly with someone outside your organization, use Copy link — they'll receive a link and authenticate with their email + a one-time code.
