How do I share a file with other users?

Step-by-step instructions for opening the sharing panel, choosing recipients and permissions, setting an expiry date, and generating a protected link.

You can share any file in your File area. There are two ways to open the sharing panel.

 

Opening the sharing panel

  • Select the file → click Share in the action bar at the top
  • Or: click the three dots ⋮ next to the file → Share

Field

Description

Recipients

Select one or more users, groups, or external users. For external users not registered on the platform, manually type their full email address.

Permission

Read-Only or Editor. Determines what the recipient can do with the file.

Access expiry

Click Add expiry date to set a date after which the file will no longer be accessible to the selected recipients.

Message

Optional text included in the email notification sent to recipients. Uncheck Send message if you don't want to send one.

Copy link

Generates a direct link to the file, protected by authentication (email + OTP). Only explicitly authorized recipients can open it — even if the link is shared elsewhere.

 

Permission inheritance for folders

If you share an entire folder, all files inside inherit the folder's permissions. To set different rules for a specific file, you need to share it separately.

 💡 Tip: If you need to share a file quickly with someone outside your organization, use Copy link — they'll receive a link and authenticate with their email + a one-time code.
